Journal Manuscript Submission Checklist for GCC Researchers

Check journal fit, author approval, required statements and files before you press submit.

Source check: 14 October 2026. This checklist is for researchers submitting their own completed work. It is a planning tool, not a substitute for the target journal’s current Guide for Authors. Requirements differ by journal, article type and discipline. Open the exact journal instructions and make a submission list from them before formatting your files.

A good pre-submission check prevents an avoidable administrative return. It cannot guarantee peer review or acceptance; those decisions belong to the journal.

1. Confirm the journal and article type

Read the journal’s aims and scope, accepted article types, word limits, reference style, figure rules, open-access options and stated charges. Check whether your manuscript actually answers a question the journal serves. Record the journal homepage and the current instructions in your project folder. Use Labeeb’s journal legitimacy checker to examine indexing claims, editorial identity, fees and submission routes before sharing a manuscript or paying a charge.

Do not rely on a journal’s name, a broker’s promise or an old list of indexed titles. If a university or funder requires a particular index or quartile, confirm its present rule and the journal’s current status with the authorised database.

2. Agree authorship and declarations before upload

Confirm that every listed author has reviewed the final manuscript, agrees to the author order and approves submission. Identify the corresponding author and check their affiliation, email and contact details. Make a record of contributions, funding, conflicts of interest, ethics approval, data availability and any permitted AI-assisted work as required by the journal and institution. Do not copy a declaration from another paper without checking that it is true for this study.

The ICMJE submission guidance describes cover-letter or submission-form statements about related work, conflicts and author approval for medical journals. It is a useful example, but its wording is not automatically the rule for every discipline. A UAE University journal’s author guidelines likewise place approval of the final article with the authors. Follow the chosen journal’s own forms.

3. Check the manuscript and separate files

Match the title, abstract, keywords and article type to the submitted study. Check that figures, tables, captions, references and in-text citations agree. Confirm every number against the analysis or source file; do not invent missing results or references. Check whether the journal wants a title page separate from an anonymised manuscript, and whether figures, supplementary files or reporting checklists must be uploaded individually.

For medical-journal submissions, ICMJE’s preparation guidance discusses word counts, disclosures, tables and figures. An Elsevier author-support note says a journal-specific checklist, when available, sits in that journal’s Guide for Authors. These examples show why a generic template should be checked against the actual journal.

4. Prepare the cover letter and submission form

State the manuscript title, article type, central contribution and why it fits the journal’s readers. Declare related submissions or previous reports where the journal asks, and answer overlap questions honestly. Use the exact journal form for author details, declarations and suggested reviewers if requested. Never suggest a fabricated reviewer identity or an email you control. The corresponding author should review the generated PDF or proof of the assembled submission before pressing the final button.

Save a copy of the submitted files, declarations and confirmation email with the submission ID. If the system returns the manuscript for missing information, fix the specified issue and retain a record of what changed.

5. Plan for the decision after submission

Editorial screening, peer review, revision and rejection are different outcomes. Do not promise yourself a timetable the journal has not given. If reviewer comments arrive, read the decision letter and prepare a point-by-point response based on changes the authors actually made. Our reviewer-response guide explains how to organise that response. The researchers remain responsible for scientific judgments and final claims.

Use a final submission control sheet

A single control sheet gives the corresponding author a clear view of what is ready and what still needs an author decision. Copy the target journal’s exact requirements into the first column; the examples below are prompts, not a universal submission policy.

Check Evidence or file Who confirms it
Journal fit and article type Current Guide for Authors link, scope note and selected article type. Corresponding author and research team.
Authorship and declarations Final author order, approval record, contributions and accurate funding/conflict statements. Every listed author; corresponding author retains the record.
Manuscript and separate files Final text, figures, tables, supplements, permissions and any reporting checklist requested. Authors check scientific accuracy; editor can check formatting.
Portal preview and confirmation Generated submission PDF, form answers, submitted version and confirmation ID. Corresponding author before and after final submission.

Decision example: If a journal requests a blinded manuscript but the file still contains author names in the title page or figure metadata, pause the upload. Prepare the separate title page and blinded file according to that journal’s instructions, then have an author check the generated PDF. This administrative fix should not alter the study’s results.

For medical journals, ICMJE guidance also notes that journals may ask for study-specific reporting checklists and permissions. Other disciplines and publishers may use different forms.

Where Labeeb can help

Labeeb offers editorial preparation of a manuscript the researchers have written: language editing, formatting against the chosen journal’s instructions, a cover-letter draft based on the authors’ facts, and support organising reviewer responses. See Journal Publication Support and Academic Integrity Editing. We do not write or submit a research paper as an author, fabricate data, choose an unethical publication route or guarantee acceptance.

Share the journal’s current instructions, your own manuscript, article type and deadline through Chat with Labeeb. We can confirm the ethical editing scope and quote before work begins.

Sources and limits

This guide uses the journal and publisher examples linked above, including ICMJE’s medical-journal guidance and a UAE University journal’s instructions. Neither example creates a universal GCC rule. Check the selected journal’s live Guide for Authors and your institution’s integrity policy before submission.

Make the submission file ready for review

Send your existing manuscript and the target journal’s instructions. We can scope legitimate editing, formatting and submission-preparation support.
